Vending for Seattle Hempfest is now closed. Vending will reopen in April of 2012.

Unfun vending fact? Although our agreement clearly states no selling of cannabis or cannabis foods we had to shut down over 10 booths in 2011. Vendor had to pack up, leave the park, and forfeit their fees due to this serious rule violation. We take our rules very seriously and if you won't please don't apply. It sucks to have to shut a vendor down and kick them out of the park. Please, review the rules. We mean them!!!

We are an application process. We'll accept applications during April and begin accepting hemp retailers and returning vendors that month. On May 1, 2012, any booths not secured by the legacy vendor will be open to the general public.

To apply you must have your Washington State UBI in hand. The application requires that you input the number. To obtain a free temporary UBI#, please contact the Washington State Department of Revenue directly at (800) 647-7706 or visit their website.

You'll also need your City of Seattle Business License number. The application will require you to input this number as well. If you do not have one, you'll be charged $15 for a City of Seattle Trade Show Fee. This does not go to Seattle Hempfest. It goes to the City of Seattle.

You'll also be required to pay a 1/3 deposit to secure your booth. We take Visa & Mastercard. We also take checks on line. You'll need to input your routing and bank info when prompted at the end. You have until June 1, 2012 to cancel your booth. You must do so in writing to vending2012@hempfest.org On June 2, 2012 we'll be rerunning your card or putting through your next check for the balance. If your'e not ready to pay your 1/3 deposit don't fill out the application. Payment information is required at the end to complete your invoice.

Seattle Hempfest will be (Fri, Sat, Sun) August 17-18-19, 2012. We'll start loading in Food Vendors on Wednesday 8/16. General Vendors on Thursday 8/16.

The City charges us $10.00 per vehicle, for each vehicle entering the park daily. You will be given a unique pass to enter for each day you select. Entry will be timed and you will not be allowed entry without this pass. You must purchase a Vehicle Entry Pass for each vehicle you’ll use to load into/out of the park. You must arrive during the designated times. If you do not you will be turned away. You'll have to walk your products into/out of the park. If you arrive in a vehicle and have not purchased a Vehicle Entry Pass you will be charged an administration fee of $50.00 in addition to the costs of entry.

The City also requires that all tires have wood under them at all times. We know it may seem silly but it’s a very important part of our annual permit process. If you do not have wood under your tires it jeopardizes our permit so we’ll have to ask you to leave the park and go get wood and start load in all over again. You can buy wood from us or bring your own. Just really bring it or you really will have to leave the park.

Seattle Hempfest 2012 Vending Prices and Rules are subject to change prior to vending opening for the year..:

  • Hemposium, Main Stage, Stone Village, & Toke Life:
  • $750 for a 10 x 10 booth in line with other booths allowing for 10 feet of frontage space to work with customers.
    $975 for a 10 x 10 corner booth or booth off by itself allowing for more than 10 feet of frontage space.

  • Cannabis Cove, Hempsterdam, McWilliams Stage, DanceSafe Stage and Seeley Stage:
  • $525 for a 10 x 10 booth in line with other booths allowing for 10 feet of frontage space to work with customers.
    $700 for a 10 x 10 corner booth or booth off by itself allowing for more than 10 feet of frontage space.

  • Happy Hookah:
  • $430 for a 10 x 10 booth in line with other booths allowing for 10 feet of frontage space to work with customers.
    $600 for a 10 x 10 corner booth or booth off by itself allowing for more than 10 feet of frontage space.

  • 6 x 6 blanket spaces
  • $325 Blanket spaces do not come with vehicle privileges, so product has to be walked in and out of the park each night. Blanket spaces are not large enough for canopies, however, vendors are permitted to use a large umbrella and stand for shade. Seattle Hempfest is prohibited from staking items into the ground, so an umbrella stand is required.

    Prices include all three days at Seattle Hempfest.

    The deadline for refunds on cancellations is June 1, 2012

    Due to the increasing number of attendees and considering pedestrian traffic congestion occurring throughout the park, Seattle Hempfest will no longer offer strolling vendor passes.

    Vendor Event Hours
    The event hours are from 12 Noon to 8 pm on Friday, and 10 am to 8 pm on both Saturday and Sunday. We ask that vendors be open during those hours for all three days.

    Vendor Load In/Load Out
    Vehicles will not be allowed into the park outside of vendor load-in/out hours. The entrance is closed promptly at designated times and anyone not present will have to walk their personal items into the park.

    Vending and Vehicle
    You will receive an email with Vending and Vehicle forms during July. This email will include the Vehicle Information and Agreement and detailed directions to get to the North Vehicle Entrance for load in/out.

    You will need to print out the Vehicle Information forms and bring them to vendor check-in where you will pick up your booth identifier and vehicle pass. If you are walking into the park and do not want to walk to the North end of the park, you can check in and pick up your passes in Operations.

    Seattle Hempfest is not able to provide parking for our vendors. Please review the list of parking garages in the attendee section of our website to locate parking. You can contact the garages to reserve space with them prior to the festival.

    Lodging
    Myrtle Edwards Park has its logistical challenges. Extra planning will help alleviate some tension and make your overall experience more positive. If you have not reserved hotel space, please review the list of places to stay in Seattle in the attendee section of our website and confirm as soon as possible. Seattle is very busy in August and lodging space historically fills up quickly. You are not permitted to camp or sleep in Elliott Bay Park , Myrtle Edwards Park, and Olympic Sculpture Park.

    Canopies and Tables
    Seattle Hempfest does not provide tables, chairs or canopies for vendors. You can rent what you need through our vendor Grand Event Rentals. The cut off is Friday 8/12, 5:00 PM.     Vendors should be prepared for occasional windy conditions on the waterfront. Please secure your canopies with some form of weight system (i.e. sandbags, cinder blocks, water container). Vendors are also responsible for maintaining the space in and around their booth. We ask that everyone be respectful of each other when loading in and out of the park and to leave the area as clean as possible.

    Blanket Spaces
    Blanket vendor spaces are 6'x6'. Blanket Vendors are responsible for providing a 6'x6' blanket / table. Also you can shade your spot with an umbrella, or a small canopy with no walls that fits into the 6'x6' space. There are no vendor load in/out car passes for Blanket/Table vendors. We do advise that you protect yourself from the August sun, however, please be respectful of your neighbors as these spaces are close together.

    Medical Patients
    No dispensing or distributing any controlled substances whatsoever, including medicinal goods. Each patient is responsible for controlling his or her own medicine.

    Active or Unauthorized Foods
    Attention: Vendors selling active or unauthorized foods can be ejected without refund!

    All food sold at Seattle Hempfest must be prepared in a Washington State approved kitchen, and must come from an authorized food booth. Any vendor who sells food in an unauthorized fashion can be immediately removed from Seattle Hempfest without refund of their vending fees and be permanently barred from future participation. Any attendee who sells unauthorized food may be ejected and have their goods confiscated.

    There are health and safety concerns that govern Seattle Hempfest’s policy regarding unauthorized foods and we will aggressively enforce food vending rules at all times. Please be cool. Please help us keep Seattle Hempfest safe by learning and following our health and safety guidelines.

    Cancellations
    Seattle Hempfest reserves the right to refuse any application and to withdraw acceptance of any application. Seattle Hempfest also reserves the right to restrict or prohibit any activities determined by the Seattle Hempfest Staff to interfere with public access and/or event programming, or which will reflect poorly on the overall event.


    1. You will not sell or sample marijuana or foods with marijuana in them or any illegal narcotic. No marijuana sales, active food sales or sampling will be tolerated. Not even to authorized medical patients. Your booth will be shut down immediately. There is a zero tolerance policy that will be strictly enforced. All fees and your space will be forfeited.

    2. There is no camping allowed in the park. You must exit the park by midnight each night. You may not stay overnight in your booth. If you are in the park after midnight you’ll be required to leave. If you refuse we’ll help you pack up as you’re forfeiting your privilege to vend. All fees and your space will be forfeited.

    3. You will not sell or give away any beverages of any type. Violators will be required to cease sales immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.

    4. Food sales are not allowed in the park unless they are approved via application. All foods must be factory packaged and sealed. Violators will be required to cease sales immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.

    5. For public safety reasons, vendors do not get strolling privileges and are not permitted to stand outside of their booths offering samples or products to people walking by. Violators will be required to cease activity immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.

    6. To preserve the free speech aspect of our permit, no sound amplification is allowed. No bullhorns, speakers, or amplification of any type is allowed. Violators will be required to cease activity immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.

    7. I will not sell any merchandise using Hempfest of its image. Violators will be required to cease selling Hempfest merchandise immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.

    8. Vehicles of any type, including bicycles, are not allowed to be operated during the event. All vehicles are disallowed by permit and are not allowed in the park during event hours. Violators will be required to remove the vehicle immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.

    9. Pets of any type are not allowed on site by permit. Violators will be required to remove the pet immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.

    10. No private ATM machines are allowed on site. Violators will be required to remove the ATM immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.

    11. You booth tag must be placed in the upper right hand corner on the front side of your booth at all times. Violators will be required to put the tag back up immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.

    12. Vendors in Hemposium, Main Stage, & Stone Village are required by the City of Seattle to pay 10% of gross sales or $20, whichever is greater for the privilege of vending in a public park. Seattle Hempfest is required by law to collect this tax on behalf of the city. We distribute the tax form at Hempfest, and vendors must turn them in at vendor check in on Sunday night or they will not be permitted to enter the park for load out. Vendors who have not turned in their tax payment will not be allowed to return to Hempfest. Information will be handed over to the City of Seattle collections.

    13. I agree to stay within my 10x10 booth space. We are required to maintain certain distances from the paths. Moving or expanding your booth is in violation of our permit. Violators will be required to move back within their 10x10 space immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.

    14. You may not sublease or transfer your space. All entities operating out of each space must be listed on this application. No more than two entities may occupy one space. Those not listed on the application will be required to cease activity in the space immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.

    15. I agree to remove all my booth materials my area. Everything I brought will leave with me. Pack it in; pack it out! I understand that if I fail to comply I will be fined $500 that will be automatically billed to the credit card or through the automated check on file. I also understand that I will be disallowed from vending in the future.

    16. I understand that my application is going into review. I understand that if I am accepted a 1/3 deposit shall be charged to my credit card or through the automated check processing information that I’ve provided. I’ll receive an email notice and receipt for my 1/3 deposit.

    17. I understand that deposits are refundable only if a written cancellation request is received by our office before June 1, 2012. There are no refunds after this date. I authorize any unpaid balances to be billed to the credit card or automated check to be ran on June 2, 2012.
