You’ll be able to see which booths are sold and which are available. Available General Vending booths are Green on the map when they are available. Once they’re sold they’re red. The yellow booths you see are available Sponsorship booths. You can get Sponsorship information HERE
We’re now offering Booth Enhancements . For example, hover over booths 420 & 421 and you’ll see that The Joint Cooperative Sponsorship information. You’ll see their address, website, and contact information complete with a hyperlink to their website. We’ll tailor the message to your needs – complete with links to where ever you want them to go!
For the low price of $49 you’ll be able to connect with all our attendees all year long as once your booth is booked we’ll keep the info up until we open vending again in 2014!
Be sure and select your booth before your start the application! Be sure it’s green and available! Remember that we load the park from south to north so southern booths have earlier load in and out times. Spaces south of Main Stage are also subject to the City of Seattle’s 10% commission requirement.


UBI
To apply you must have your Washington State UBI in hand. The application requires that you input the number. To obtain a free temporary UBI#, please contact the Washington State Department of Revenue directly at (800) 647-7706 or visit their website HERE
Seattle City Business License
You’ll also need your City of Seattle Business License number. The application will require you to input this number as well. If you don’t have one, we’ll get you a temp one issued. Just leave the field blank.
Payment Due Upon Application
You’ll also be required to pay for your booth upon application. We take Visa & Mastercard only. All cancellations will be charge a 30% cancellation fee. No cancellations will be taken after June 1, 2013.
Event & Load In Dates
Seattle Hempfest will be (Fri, Sat, Sun) August 16-17-18, 2013. We’ll start loading in Food Vendors on Wednesday 8/14, and General Vendors on Thursday 8/15.
City of Seattle’s $10 Per Vehicle Per Day Fee
The City charges us $10.00 per vehicle, for each vehicle entering the park daily. You will be given a unique pass to enter for each day you select. Entry will be timed and you will not be allowed entry without this pass. You must purchase a Vehicle Entry Pass for EACH vehicle you’ll use to load into/out of the park. You must arrive during the designated times. If you do not, you will be turned away. You’ll have to walk your products into/out of the park. If you arrive in a vehicle and have not purchased a Vehicle Entry Pass you will be charged an administration fee of $50.00 in addition to the costs of entry.
City of Seattle’s Wood Policy – You Gotta Have It To Get In!
The City also requires that all tires have wood under them at all times in the parks. We know it may seem silly but it’s a very important part of our annual permit process. If you do not have wood under your tires it jeopardizes our permit, so we’ll have to ask you to leave the park and go get wood and start load in all over again. You can buy wood from us on-line or bring your own. Just really bring it, or you really will have to leave the park.
Seattle Hempfest Vending Prices and Rules are subject to change prior to vending opening for the year..:
- Hemposium, Main Stage, Stone Village, & Toke Life to 516:
$825 for a 10 x 10 booth in line with other booths allowing for 10 feet of frontage space to work with customers.
$999 for a 10 x 10 corner booth or booth off by itself allowing for more than 10 feet of frontage space.
- Toke Life 517 up, Cannabis Cove, Hempsterdam, McWilliams Stage, DanceSafe Stage and Seeley Stage to 818:
$600 for a 10 x 10 booth in line with other booths allowing for 10 feet of frontage space to work with customers.
$770 for a 10 x 10 corner booth or booth off by itself allowing for more than 10 feet of frontage space.
- Seeley Stage 819 North & Bassdrop Music Village:
$462 for a 10 x 10 booth in line with other booths allowing for 10 feet of frontage space to work with customers.
$594 for a 10 x 10 corner booth or booth off by itself allowing for more than 10 feet of frontage space.
- 6 x 6 blanket spaces in Bassdrop Music Village
$340 Blanket spaces do not come with vehicle privileges, so product has to be walked in and out of the park each night. Blanket spaces are not large enough for canopies, however, vendors are permitted to use a large umbrella and stand for shade. Seattle Hempfest is prohibited from staking items into the ground, so an umbrella stand is required. Blankets may not be moved from the assigned space.
Food Vending Pricing
All spaces are sold in 10×10 increments at $1,687 per 10′ of space.
Prices include all three days at Seattle Hempfest.
Strolling Vending
Due to the increasing number of attendees and considering pedestrian traffic congestion occurring throughout the park, Seattle Hempfest will no longer offer strolling vendor passes.
Vendor Event Hours
The event hours are from 12 Noon to 8 pm on Friday, and 10 am to 8 pm on both Saturday and Sunday. We require that vendors be open during those hours for all three days.
Vendor Load In/Load Out
Vehicles will not be allowed into the park outside of vendor load-in/out hours. The entrance is closed promptly at designated times and anyone not present will have to walk their personal items into the park. What time we start loading in each morning depends on how many cars we have entering the park. Do know that if you select a southern booth you’ll be entering the park the earliest. This also means you’ll be the first to enter each night and go home too though! Typical load in hours are as follows – official load in hours will be announced in July
We are not responsible for anything left over night! Think of this when your selecting your load in/out days.

Friday 8/16 6:30 AM – 10:00 AM Same schedule so if you pick a southern booth your gonna need to show up at 6:30 AM or load in by hand!
Saturday & Sunday 6:00 AM – 8:00 AM Same schedule so again, if your in the south think about how early your going to need to arrive!
Loading out is the opposite. Loading out does not start until 8:45 each night as we’re required to have all the public out of the park before we allow vehicles to reenter.
Load in runs from 8:45 – Midnight. If your a southern booth you’ll be in at 8:45, if your a northern booth you can’t even line up until ~9:30 PM. So relax, find some food, then go get in line to load out.
Great tip – get a cart and roll your goods in and out!
Lodging
Please review the list of places to stay in Seattle in the attendee section of our website for a list of nearby hotels as well as parking facilities. Seattle is very busy in August and lodging space historically fills up quickly. You are not permitted to camp or sleep in Elliott Bay Park , Myrtle Edwards Park, Olympic Sculpture Park, or any City streets or property.
Canopies and Tables
Seattle Hempfest will provide rental logistic. You may order canopies, tables, & chairs on your application. They will be set up and waiting for you when you arrive at your vending location. Costs are as follows:
10×10 canopy w/4 side walls, $299
10×20 canopy w/4 side walls, $449
6′ tables, $14.99
8′ tables, $19.99
Folding chairs, $2.99
10′ steel banner poles, $6.99
You are responsible for rented items. You will be billed replacement value for any damaged or missing items. You are responsible for sealing your canopy w/all the rented items inside when you pack out of Hempfest each night.
If you bring your own canopy, vendors should be prepared for occasional windy conditions on the waterfront. Please secure your canopies with some form of weight system (i.e. sandbags, cinder blocks, water container). Vendors are also responsible for maintaining the space in and around their booth. We ask that everyone be respectful of each other when loading in and out of the park and to leave the area as clean as possible. Pack it in, pack it out!
Cannabis on Site
No dispensing or distributing any controlled substances whatsoever, including medicinal goods. Each person is responsible for controlling his or her own cannabis. While we are in the defining phases of legalization here in Washington State all current state laws must be adhered to including that sales/distribution in a park is a felony charge. By Hempfest 2014 new rules will be defined and we can look into relaxing these regulations. As of now it’s critical to our permit process to have these rules in place and followed.
Active or Unauthorized Foods
Attention: Vendors selling active or unauthorized foods can be ejected without refund!
All food sold at Seattle Hempfest must be prepared in a Washington State approved kitchen, and must come from an authorized food booth. Any vendor who sells food in an unauthorized fashion can be immediately removed from Seattle Hempfest without refund of their vending fees and be permanently barred from future participation. If they were not approved via application no foods are allowed period.
Seattle Hempfest Vending Rules 2013
- You will not sell or sample marijuana or foods with marijuana in them or any illegal narcotic. No marijuana sales, active food sales or sampling will be tolerated. Not even to authorized medical patients. Your booth will be shut down immediately. There is a zero tolerance policy that will be strictly enforced. All fees and your space will be forfeited.
- All parties must be listed on this application. Sub leasing or transferring of booth spaces is not allowed. Failure to comply will cause forfeiture of your vending privilege. All fees and your space will be forfeited.
- You will have wood under your tires at all times. We know it seems silly but the City of Seattle requires that all vehicles have wood under their tires while in the park. You may purchase wood squares from us in advance on your application for $25 per set of 4. If you choose to bring your own, you must have your wood out and ready when you load in each day. We must see your wood squares before you’ll be allowed to enter or you’ll need to purchase wood on site for $50 per set of 4. If you fail to bring wood or purchase it we simply cannot allow you in the park or we’ll be in violation of our permit! Once you’re in if you fail to park on your wood we’ll request to have you do so. If for some reason you decide to not comply we’ll revoke your vending privilege and your booth will be shut down immediately and you will not be allowed to return. All fees and your space will be forfeited.
- You will not sell or sample Salvia, Spice, K2 or any other similar substance. Violators will be required to cease sales immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- There is no camping allowed in the park. You must exit the park by midnight each night. You may not stay overnight in your booth. If you are in the park after midnight you’ll be required to leave. If you refuse we’ll help you pack up as you’re forfeiting your privilege to vend. All fees and your space will be forfeited.
- You will not sell or give away any beverages of any type. Violators will be required to cease sales immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- Food sales are not allowed in the park unless they are approved via application. All foods must be factory packaged and sealed. Violators will be required to cease sales immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- For public safety reasons, vendors do not get strolling privileges and are not permitted to stand outside of their booths offering samples or products to people walking by. Violators will be required to cease activity immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- To preserve the free speech aspect of our permit, no sound amplification is allowed. No bullhorns, speakers, stereos or amplification of any type is allowed. Violators will be required to cease activity immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- I will not sell any merchandise using Hempfest of its image. Violators will be required to cease selling Hempfest merchandise immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited
- Vehicles of any type, including bicycles & Segways, are not allowed to be operated during the event. All vehicles are disallowed by permit and are not allowed in the park during event hours. Violators will be required to remove the vehicle immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- Pets of any type are not allowed on site by permit. Violators will be required to remove the pet immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- No private ATM machines are allowed on site. Violators will be required to remove the ATM immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- You booth tag must be placed in the upper right hand corner on the front side of your booth at all times. Violators will be required to put the tag back up immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- Vendors south of Main Stage are required by the City of Seattle to pay 10% of gross sales or $20, whichever is greater for the privilege of vending in a public park. Seattle Hempfest is required by law to collect this tax on behalf of the city. We distribute the tax form at Hempfest, and vendors must turn them in at vendor check in on Sunday night or they will not be permitted to enter the park for load out. Vendors who have not turned in their tax payment will not be allowed to return to Hempfest. Information will be handed over to the City of Seattle collections.
- I agree to stay within my 10×10 booth space. We are required to maintain certain distances from the paths. Moving or expanding your booth is in violation of our permit. This includes hanging items from trees or other park structures. Violators will be required to move back within their 10×10 space immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- You may not sublease or transfer your space. All entities operating out of each space must be listed on this application. Those not listed on the application will be required to cease activity in the space immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- I agree to remove all my booth materials from my area upon exit on Sunday night. Everything I brought will leave with me. Pack it in; pack it out! I understand that if I fail to comply I will be fined $500 that will be automatically billed to the credit card on file. I also understand that I will be disallowed from vending in the future.
- Providing of medical recommendations at Seattle Hempfest is not permitted. While this activity is not illegal, it gives a perception of inappropriateness and reinforces a cynical view of the integrity of the medical cannabis authorization process. You are welcome to provide information at your booth and direct those requesting medical authorizations to your off site medical office.
- Creating of private medicating areas within your booth space is prohibited. All areas of your booth must be open to all of the public at all times.
- No staking is allowed in Seattle City Parks. You are not allowed to put anything into the ground. All canopies must be weighed down with sand bags, cement blocks, water jugs, or other on ground weight. Violators will be required to remove your staked items immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- If I am selling products that require the purchaser to be 18 or older, I will check ID’s. In additional, all those working in your booth must be 18 as well to comply with state law. Violators will be required to start checking ID’s and/or cease allowing under aged staff to work in their booth. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- Seattle has a City wide ban on Styrofoam. In accordance with this no Styrofoam may be brought on site. Violators will be required to remove all Styrofoam items immediately and clean the immediate area of any Styrofoam waste. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- I will not distribute any stickers for free. We’ve had to pay upwards or $2,000 in sticker removal fees as attendees love to put them in inappropriate places. You may sell stickers to attendees as our hope is that if they’ve bought it they will value it more. Help Hempfest avoid more City fee’s by stopping providing free stickers. Violators will be asked to please stop giving away stickers for free and to please sell them. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- Seattle Hempfest assumes no liability in the event of theft or damage to vendor’s property. To the extent that Hempfest takes measures to secure the event site, Hempfest is not a guarantor or insurer and does not provide any guarantee, warranty or insurance coverage for vendors’ losses or liability.
- You are required to carry your own insurance.
- Vendors are responsible for their own conduct or their own staff’s conduct with respect to the safety and security of their booths and with respect to securing vendor’s merchandise. Vendors who have any insurance questions are encouraged to contact their own insurance agents.
- I understand that my application is going into a review process that will take up to 72 hours. I understand that all fees shall be charged to my credit card immediately. I’ll receive an email notice and either a receipt if I am accepted or a refund if I am not accepted.
- I understand that fees are refundable only if a written cancellation request is received by our office in writing before June 1. There are no refunds after this date. All refunds are subject to a 30% processing fee.
A Few Additional Rules For Food Vendors
- Only specialty drinks may be sold. No prepackaged beverages are allowed. Violators will be required to cease selling prepacked beverages. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- You will use compostable utensils and serving containers. These can be purchased from Cedar Grove, http://www.gogreenscene.com/Food_Services-list.aspx or must be compliant to their compostable specification http://www.cedar-grove.com/commercial/accepted-items/ or Cedar Grove will not accept them for compost. Food vending is the #1 waste producer at Seattle Hempfest. It’s vital that food vendors comply with this requirement. Violators will not be allowed to open until they have obtained approved compostable products. All fees will be forfeited if you fail to comply and are unable to open.
- You will allow Seattle Hempfest to create 30 free food coupons to be handed out to our volunteer staff. You may not deny staff the use of these coupons. Violators will be required to take said coupon. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
- You will provide your own floor covering for your booth space.
- You must do all cooking and food preparation underneath your canopy.
- You must obtain a Temporary Food Service Permit at least 21 days prior to the event to avoid a fine by the health department. We are required to provide the health department a list of all food vendors. They will not allow you to open if you’ve not obtained the proper permits. They also charge a hefty fine for not obtaining your permit at least 21 days prior to the event. - You must also obtain a Fire Department Permit for LPG (propane) and/or open flame (charcoal, wood). Additionally, if you are cooking with propane, oil, or any open flame you are required to have fire extinguishers. For oil, a special Class K fire extinguisher is required.
