6 x 6 blanket spaces $350 Blanket spaces do not come with vehicle privileges, so product has to be walked in and out of the park each night. Blanket spaces are not large enough for canopies, however, vendors are permitted to use a large umbrella and stand for shade. Seattle Hempfest is prohibited from staking items into the ground, so an umbrella stand is required. Blankets may not be moved from the assigned space.

  • Once you submit your application, you’ll need to pay your invoice for your application to be processed.  Check your spam box if you can’t find the invoice email. To be very clear, until you pay, nothing is processed and nothing is held for you. There are no exceptions!  We know you’re special, and we love you, but those are the rules.

There are many things to consider when you are selecting your location.

Remember, it’s a park.  What’s grass today may be dirt by August.  The City changes things all the time.  We do not control this – we have to roll with it! They add a tree, dig a hole, have a storm, we have to adjust vending.  We try to minimize impact but remember, don’t get attached to a specific booth number as you may be moved!

We load in from south to north.  If you pick a South end location you’ll have an earlier load in and load out time – it could be 6:00 AM!  Conversely, if you select a North end location your load in time will be later, but so will your load out time – as late as 10:30 PM!  Sponsors get the ‘golden ticket’ of entering/exiting during any of our load in/out hours.

General Vending booths are Green on the map when available. Once they’re sold they are Red.

Food booths are Gray when available and Blue when sold.

Sponsorship booths are Yellow when available. Once they’re booked they are Purple.

Booths in Hemposium, Hemposium 21+ Cannabis Lounge, Grubbin’ Grove, Main Stage, Stone Village, & Munchie Market are subject to the City of Seattle’s 10% of revenue or $20 fee, whichever is greater. These are theRed & Orange sections of the park.

We must collect this.  We come around on Sunday night and pick it up and give you your Sunday night load in pass then.  You will not get a Sunday night load out pass until you pay.  To avoid this fee, select booths in the Yellow, Green, Blue, or Purple areas.

Be sure and select your booth before your start the application!  You’ll need to select 5 locations.  Be sure they are green and available!  Pay once you apply!  Only fully paid applications are processed.  The booths you’re requesting will not be held for you unless you pay!  We secure booths in the order applications are paid.

Buy the $49 booth highlight, you’ll see it on your application.  I can’t tell you how many times we get phone calls & emails from the public trying to figure out who a vendor was-  It’s a great deal!  Whenever someone hovers over your booth space it will show them whatever info you’ve had us put in.  Your business name, address, we can add hyperlinks to your website, events, anything you want!  It will go up a week or so after you pay your invoice and it will stay up until the end of the year.

$535 for a 10 x 10 booth in line with other booths allowing for 10 feet of frontage space to work with customers.

  • 6 x 6 blanket spaces in Bassdrop Music Village

$350 Blanket spaces do not come with vehicle privileges, so product has to be walked in and out of the park each night. Seattle Hempfest Festival Vending Info

You are applying for a location

You are getting a 10×10×10 booth location only.  There is no back line or side area.  You are to remain contained in your 10×10×10 area.  We do not provide canopies.  Canopies are available for rent on your application.  You are applying to vend in a park, outdoors, in Seattle.  This means that you will be on grass or dirt.  It may be uneven.  If it rains it will be wet.  Be prepared and think about this when you are selecting your space!

Application Review & Subject To Change

All applications go into review once they are paid in full.  Until an application is paid in full it is not processed.  Your space is not reserved and may be sold to someone else until you have paid in full.

Our map is subject to change.  Your booth may be reassigned or moved.   We make every effort to NOT have this happen but it occasionally does.

You are vending in a park.  This means that you may be on grass, you may be on dirt, heck, it’s Seattle, if it rains there may be mud and puddles. Think about this!  Nothing is flat in a park, a lot of spaces are slightly slanted.

A super great idea is to check out the park on Google Earth if you are going to be super picky about your space, you can download it HERE.  Then type in Myrtle Edwards Park, Seattle, Wa and you can go down to street view and see the terrain

UBI

To apply you must have your Washington State UBI in hand. The application requires that you input the number.

To obtain a free temporary UBI#, please contact the Washington State Department of Revenue directly at (800) 647-7706 or visit their website HERE 

If you do not give us a valid UBI you will not be allowed to enter the park. We submit the list of businesses & their UBI for review.  If you are kicked back invalid we must comply and cannot allow you to vend without the proper credentials.

Seattle City Business License

You’ll also need your City of Seattle Business License number. The application will require you to input this number as well.  If you don’t have one, we’ll get you a temp one issued for you.  Just leave the field blank.

Payment Due Upon Application

You’ll also be required to pay for your booth upon application. We take Visa & MasterCard only on line.  If you call us at Hempfest Central, 206-36-4HEMP(4367) we can take Discover & American Express.

Nothing is processed until you pay.  Your booth is not held until you pay. Booths are assigned based on the order in which payment is received.

Cancellation Policy

All cancellations will be charged a 30% cancellation fee.  No cancellations will be taken after June 1.  To cancel all or part of your order you must complete our cancellation form and email it to vending@hempfest.org by  no later than June 1.

Event & Load In Dates

Seattle Hempfest will be (Fri, Sat, Sun) August 14-15-16, 2015. We’ll start loading in on Thursday 8/13.  These times are subject to change.  We’ll be confirming your exact times with you in July when we send you your initial load in pass.

You will load in to 920 Alaskan Way West Seattle, Washington 98119.  This is a back entrance to a park.  Our traffic team will be there to greet you and instruct you how to get to Vendor Check-In where Kat and her team will be ready to greet you.

Vehicles will not be allowed into the park outside of vendor load-in/out hours. The entrance is closed promptly at designated times and anyone not present will have to walk their personal items into the park.

Load Out 

Friday Aug 14  & Saturday Aug 15 load out 9:00 PM – Midnight – DO NOT ARRIVE EARLY! 

Before we can allow vendors to enter the park we actually have to get allllll those people out of the park!  We call it sweep.  You’ll hear us start about 8:00.  We meet in the middle of the park and then Jake & Sherry lead teams that go north and south to “sweep” the public out of the park.   We can’t let you in until all of the public is out.  It may be annoying to have them rushing your final sales but they’re trying to get everyone out so we can let the line of cars at the back entrance in.  We’re not trying to be dicks it’s just a matter of shear traffic volume control at the back entrance where people are arriving at 9:00 PM sharp to be let in.

That’s the other thing.  DO NOT ARRIVE BEFORE 9:00 PM.  Please, Please, Please!  It really is no fun to have to turn everyone around.  We get that your driver is tiredd and just wants to go in but we really cannot let anyone in until after 9:00 when we’ve gotten all the public out of the park.

Please remember this when Sweep team comes through.  They are trying to hurry up and get your driver into the park so he can load you out!

Sunday August 16 – General vendors load out 9:00 – Midnight

All Booths in Red & Orange MUST pay their City of Seattle 10% fee before being issued a LOAD OUT PASS.  We must collect this and pass it through to the City of Seattle.  You need to come to the Vending Information Desk in the QM area of Operations to pay this fee and get your load out pass between 6 – 8 PM on Sunday night.  Claire & Maria will be there to help you.

No Red or Orange passes will be allowed entry to the park on Sunday night!  Once you’ve paid you will be a brand new color entry pass indicating you’ve paid.  Even sponsors need to complete this form for the City.

Sunday night load in is much much more complicated.  Again we get that you want to make that last minute sale but it holds the entire line up as no one can enter the park until we get all the public out and on Sunday EVERYONE is driving in so the volume is insane!

Please cooperate with our Sweep staff and help get everyone out of the park as quickly as possible so we can load your driver in!

Drivers, please do not arrive early!  I hate losing my voice turning drivers around each year.  We just honestly cannot let you in until the public is out!

Sunday August 16, 2015 Load out –

You must arrive during the designated times. If you do not, you will be turned away. You’ll have to walk your products into/out of the park.  This is no fooling around and no fun at all!  We have over 400 vehicles entering the park and we need it done in an orderly fashion.

Vehicle Entry Fee

There is a $50 vehicle entry fee.  You will be given a pass to enter the park based on your location selection.   Entry will be timed and you will not be allowed entry without this pass. You must purchase a Vehicle Entry Pass for EACH vehicle you’ll use to load into/out of the park. You must arrive during the designated times. If you do not, you will be turned away. You’ll have to walk your products into/out of the park.  This is no fooling around.  We have over 400 vehicles entering the park and we need it done in an orderly fashion.  

We are not responsible for items left in the park overnight.  This includes but is not limited to, your merchandise and your booth set up.  If you choose to leave them over night you do so at your own risk.   We recommend you remove your items each night.

City of Seattle’s Wood Policy – You Gotta Have It To Get In!

The City also requires that all tires have wood under them at all times in the parks. We know it may seem silly but it’s a very important part of our annual permit process. If you do not have wood under your tires it jeopardizes our permit, so we’ll have to ask you to leave the park and go get wood and start load in all over again. You can buy wood from us on-line or bring your own. Just really bring it, or you really will have to leave the park.  Wood must fit under your tires such that you are parked on wood and not the ground.  100% of your tires must be on the wood.

Power is available from Toke Life South.  There is no power in Cannabis Cove, Hempsterdam, McWilliams, Seeley booth 823 or higher or any of BassDropMusic Village

Food Vending Pricing - 

All spaces are sold in 10×10 increments at $1,687 per 10′ of space.

Prices include all three days at Seattle Hempfest.

Strolling Vending

Due to the increasing number of attendees and considering pedestrian traffic congestion occurring throughout the park, Seattle Hempfest will no longer offer strolling vendor passes.

Vendor Event Hours
The event hours are from 12 Noon to 8 pm on Friday, and 10 am to 8 pm on both Saturday and Sunday. We require that vendors be open during those hours for all three days.

Lodging
Please review the list of places to stay in Seattle in the attendee section of our website for a list of nearby hotels as well as parking facilities. Seattle is very busy in August and lodging space historically fills up quickly. You are not permitted to camp or sleep in Centennial Park, Myrtle Edwards Park, Olympic Sculpture Park, or any City streets or property.

Canopies and Tables - 
Seattle Hempfest will provide rental logistics.  You may order canopies, tables, & chairs on your application.  Canopies will be set up and waiting for you on site.  Your tables, chairs, & banner poles will be delivered to you shortly after you arrive.  Costs are as follows:

10×10 canopy w/4 side walls, $325

10×20 canopy w/4 side walls, $475

20×20 canopy w/4 side walls, $599

6′ tables, $25

8′ tables, $30

Folding chairs, $5

10′ banner poles, $15

You are responsible for rented items.  You will be billed replacement value for any damaged or missing items.  You are responsible for sealing your canopy w/all the rented items inside when you pack out of Hempfest each night.

If you bring your own canopy, vendors should be prepared for occasional windy conditions on the waterfront. Please secure your canopies with some form of weight system (i.e. sandbags, cinder blocks, water container). Vendors are also responsible for maintaining the space in and around their booth. We ask that everyone be respectful of each other when loading in and out of the park and to leave the area as clean as possible. Pack it in, pack it out!  If we can document that you’ve left trash behind – like a box or 10 of your flyers, we will bill your card on file a $500 cleaning fee.  This is part of your agreement with us.

Cannabis on Site
No dispensing or distributing any controlled substances whatsoever, including medicinal goods. Each person is responsible for controlling his or her own cannabis.  While we are in the defining phases of legalization here in Washington State all current state laws must be adhered to including that sales/distribution in a park is a felony charge.  It’s critical to our permit process to have these rules in place and followed.

Active or Unauthorized Foods
Attention: Vendors selling active or unauthorized foods can be ejected without refund!

All food sold at Seattle Hempfest must be prepared in a Washington State approved kitchen, and must come from an authorized food booth. Any vendor who sells food in an unauthorized fashion can be immediately removed from Seattle Hempfest without refund of their vending fees and be permanently barred from future participation. If they were not approved via application no foods are allowed period.

Seattle Hempfest Vending Rules  

 

  1. You will not sell marijuana or foods with marijuana in them or any illegal narcotic.  No marijuana sales, active food sales will be tolerated. Not even to authorized medical patients.  Your booth will be shut down immediately. There is a zero tolerance policy that will be strictly enforced. All fees and your space will be forfeited.
  2. All parties must be listed on this application.   Sub leasing or transferring of booth spaces is not allowed.
  3. You will have wood under your tires at all times.  We know it seems silly but the City of Seattle requires that all vehicles have wood under their tires while in the park.
  4. You will not sell or sample Salvia, Spice, K2 or any other similar substance.  Your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  5. There is no camping allowed in the park.  You must exit the park by midnight each night.  You may not stay overnight in your booth.  If you are in the park after midnight you’ll be required to leave.
  6. You will not sell or give away any beverages of any type.
  7. Food sales are not allowed in the park unless they are approved via application.  All foods must be factory packaged and sealed.
  8. For public safety reasons, vendors do not get strolling privileges and are not permitted to stand outside of their booths offering samples or products to people walking by.
  9. To preserve the free speech aspect of our permit, no sound amplification is allowed.  No bullhorns, speakers, stereos or amplification of any type is allowed.
  10. You will not sell any merchandise using Hempfest’s name or image.
  11. Vehicles of any type, including bicycles & Segways, are not allowed to be operated during the event.  All vehicles are disallowed by permit and are not allowed in the park during event hours.
  12. Pets of any type are not allowed on site by permit.
  13. No private ATM machines are allowed on site.
  14. No private generators are allowed on site.
  15. You booth tag must be placed in the upper right hand corner on the front side of your booth at all times.
  16. Vendors in Hemposium, Main Stage, and Stone Village are required by the City of Seattle to pay 10% of gross sales or $20, whichever is greater for the privilege of vending in a public park. Seattle Hempfest is required to collect this tax on behalf of the city.  We distribute the tax form in your vendor packet when you check in.  You must go to the Vending Information Desk in the QM area of Operations to pay this fee and get your load out pass Sunday between 6:00 – 8:00 PM
  17. You agree to stay within my 10×10×10 booth space.  We are required to maintain certain distances from the paths.  Moving or expanding your booth is in violation of our permit.  This includes hanging items from trees or other park structures.
  18. You agree to remove all your booth materials from your area upon exit on Sunday night. Everything you brought will leave with you. Pack it in; pack it out! You understand that if you fail to comply you will be fined $500 that will be automatically billed to the credit card on file.
  19. Providing of medical recommendations at Seattle Hempfest is not permitted.
  20. Creating of private medicating areas within your booth space is prohibited.  All areas of your booth must be open to all of the public at all times.
  21. No staking is allowed in Seattle City Parks.  You are not allowed to put anything into the ground.  All canopies must be weighed down with sand bags, cement blocks, water jugs, or other on ground weight.
  22. If you are selling products that require the purchaser to be 18 or older, you will check ID’s
  23. Seattle has a City wide ban on Styrofoam.  In accordance with this no Styrofoam may be brought on site.
  24. You will not distribute any stickers for free.  We’ve had to pay upwards or $2,000 in sticker removal fees as attendees love to put them in inappropriate places.  You may sell stickers to attendees as our hope is that if they’ve bought it they will value it more.  Help Hempfest avoid more City fee’s by stopping providing free stickers.
  25. Hand held torches are not allowed to be operated in Seattle City Parks per the Fire Marshall Section 308.1.((6))5
  26. You have general business liability insurance and will be able to produce documentation of such if required to on site.
  27. Hate groups and hate speech are not allowed.  You must conduct yourself in a courteous and professional manor at all times.  No confrontational or aggressive behavior will be tolerated.
  28. All cancellations will be charged a 30% cancellation fee.  No cancellations will be taken after June 1.  To cancel all or part of your order you must complete our cancellation form and email it to vending@hempfest.org.
  29. You agree and understand that
  • All applications go into review once they are paid in full.  Until an application is paid in full it is not processed.
  • The longer you wait to pay, the less likely the spaces you’ve selected will be available.  You understand that if the spaces you have selected are no longer available you will be placed in another space in the same price category.
  • You understand the map is subject to change.  Your booth may be reassigned or moved.  You are not guaranteed any specific space number just a location within the price category for which you have paid.  If you are provided a space in a different price category you will be given a refund for the difference between the two categories.
  • You are vending in a park.  This means you will be on grass or dirt.  You understand that it’s Seattle and if it rains there may be mud and puddles.
  • You are vending at your own risk.  Seattle Hempfest makes no claims or guarantees as to your sales or condition of the ground that your booth will be set up.  You understand there no guarantee of the safety for anything left in the park overnight.  If you choose to not load out your products and/or booth set up out each night, Seattle Hempfest make no guarantee of its safety.  Vendors leave products and their booth at their own risk.
  • Seattle Hempfest recommends that you load out each night and back in each morning.

A Few Additional Rules For Food Vendors

  1. Only specialty drinks and bottled water may be sold.  No other prepackaged beverages are allowed unless approved via application.
  2. You will use compostable utensils and serving containers.  These can be purchased from Cedar Grove,http://www.gogreenscene.com/Food_Services-list.aspx or must be compliant to their compostable specification http://www.cedar-grove.com/commercial/accepted-items/ or Cedar Grove will not accept them for compost.
  3. You will allow Seattle Hempfest to create 30 free food coupons to be handed out to our volunteer staff.  You may not deny staff the use of these coupons.
  4. You must obtain a Temporary Food Service Permit at least 21 days prior to the event to avoid a fine by the health department.  We are required to provide the health department a list of all food vendors.  They will not allow you to open if you’ve not obtained the proper permits.  They also charge a hefty fine for not obtaining your permit at least 21 days prior to the event.  Here is the link to obtain your permit. http://www.kingcounty.gov/healthservices/health/ehs/foodsafety/FoodBusiness/temporary.aspx
  5. You must also obtain a Fire Department Permit for LPG (propane) and/or open flame (charcoal, wood).  Additionally, if you are cooking with propane, oil, or any open flame you are required to have fire extinguishers.  For oil, a special Class K fire extinguisher is required.  For more information on the fire permit requirements, or to download a permit application, please visit the Seattle Fire Marshall’s Special Event page, http://www.seattle.gov/fire/fmo/specialevents/sehome.htm
  6. Do not make your own 3 compartment sink in your area.  This is a health code violation and your booth will be noted as in violation and unable to operate until you have come into compliance with King County health codes.
  7. You cannot leave food on site over night or begin prep on site during Thursday load in.  This is a health code violation and your booth will be noted as in violation and unable to operate until you have come into compliance with King County health codes.

Hempfest Business takes place in Seattle Center’s Exposition Hall.

Seattle Center’s address is 305 Harrison Street, Seattle, Washington 98109.  It’s on the north side of Seattle Center with its entrance on Mercer Street between 2nd Ave N & 3rd Ave N across from Teatro ZinZanni

General booths are white until sold, then they turn red.  Sponsor booths are yellow until sold them they turn purple.

We have 1 food booth at Hempfest Business.  It’s under a covered walkway in front of the Seattle Center Exhibition Hall.  No grilling can be allowed.

Event Location

Attendee Registration

Registration is required to attend Hempfest Business.  Those registering before hand will get a Hempfest Business lanyard when they arrive and will be entered in our door prize drawings!  You’ll also be kept up to date as we add seminars, panels, & classes to our schedule.  To register click the Attendee Registration tab above.

Those not pre-registered will have to stand in line and register prior to be allowed entry.

Hempfest Business Mixer at the Space Needle

The Seattle Hempfest Business Mixer takes place Saturday August 15, 8:00 PM at the Space Needle’s Skyline level.  Join us for a night of dining & drinks in the world famous Space Needle as we celebrate our Seattle Hempfest Business show at Seattle Center and award our first ever Hempfest Business of the Year Award.    Tickets are $160/ea and are available on your vending/sponsorship application or at in our web store.

Daily Stage Programming

We’ll be hosting daily business panels & forums starting at 11:00 AM each day and ending at 6:30 on Saturday & 4:20 on Sunday.

You space

You are getting a 10×10 pipe & draped location.  There is no back line or side area.  You are to remain contained in your 10×10 area.  Each 10×10 space comes with 1, 8’ skirted table & two chairs.  More are available for rent on your application.

Application Review & Subject To Change

All applications go into review once they are paid in full.  Until an application is paid in full it is not processed.  Your space is not reserved and may be sold to someone else.

Our map is subject to change.  Your booth may be reassigned or moved.   We make every effort to NOT have this happen but it occasionally does.

UBI

To apply you must have your Washington State UBI in hand. The application requires that you input the number.

To obtain a free temporary UBI#, please contact the Washington State Department of Revenue directly at (800) 647-7706 or visit their website HERE 

If you do not give us a valid UBI you will not be allowed to enter the Exhibition Hall at Seattle Center. We submit the list of businesses & their UBI for review.  If you are kicked back invalid we must comply and cannot allow you to vend without the proper credentials.

Seattle City Business License

You’ll also need your City of Seattle Business License number. The application will require you to input this number as well.  If you don’t have one, we’ll get you a temp one issued for you.  Just leave the field blank.

Payment Due Upon Application

You’ll also be required to pay for your booth upon application. We take Visa & MasterCard only on line.  If you call us at Hempfest Central, 206-36-4HEMP(4367) we can take Discover & American Express.

Nothing is processed until you pay.  Your booth is not held until you pay. Booths are assigned based on the order in which payment is received.

Cancellation Policy

All cancellations will be charged a 30% cancellation fee.  No cancellations will be taken after June 1.  To cancel all or part of your order you must complete our cancellation form and email it to vending@hempfest.org.

Event & Load In Dates

Hempfest Business will be (Sat, Sun) August 15-16, 2015 at Seattle Center Exhibition Hall. We’ll start loading in on Friday 8/14.  These times are subject to change.  You will be notified of any changes via email.

Power is available for purchase.  It is a 500W, 5 AMP, lay in.  Cost is $250

Please review the list of places to stay in Seattle in the attendee section of our website for a list of nearby hotels as well as parking facilities. Seattle is very busy in August and lodging space historically fills up quickly.

Cannabis on Site
No dispensing or distributing any controlled substances whatsoever, including medicinal goods. Each person is responsible for controlling his or her own cannabis.  While we are in the defining phases of legalization here in Washington State all current state laws must be adhered to including that sales/distribution in a park is a felony charge.  It’s critical to our permit process to have these rules in place and followed.

Cannabis  may not be consumed on Seattle Center property.

Rules & Regulations  

Please review and read each of these carefully. While the rules may be no fun, they are a necessary part of our annual permit.  We are serious about these policies. If you don’t intend on following the rules, or think we’re kidding, stop your application now, come and enjoy Hempfest Business as an attendee instead of vending.  Remember, if this City didn’t make us, we wouldn’t make you!

  1. You will not sell or sample marijuana or foods with marijuana in them or any illegal narcotic.  No marijuana sales, active food sales or sampling will be tolerated. Not even to authorized medical patients. Your booth will be shut down immediately. There is a zero tolerance policy that will be strictly enforced. All fees and your space will be forfeited.
  2. You will not consume cannabis on Seattle Center property.
  3. All parties must be listed on this application. Sub leasing or transferring of booth spaces is not allowed
  4. Please keep amplified sound to within your 10×10 space. No bullhorns, speakers, stereos or amplification of any type is allowed that disrupts your neighboring booths.
  5. I will not sell any merchandise using Hempfest of its image.
  6. Pets of any type are not allowed on site.
  7. No private ATM machines are allowed on site.
  8. No private generators are allowed on site.
  9. You booth tag must be up at all times.
  10. I agree to stay within my 10×10 booth space.
  11. I agree to remove all my booth materials from my area upon exit on Sunday night. Everything I brought will leave with me. Pack it in; pack it out! I understand that if I fail to comply I will be fined $500 that will be automatically billed to the credit card on file.
  12. Seattle has a City wide ban on Styrofoam. In accordance with this no Styrofoam may be brought on site.
  13. I will not distribute any stickers for free. We’ve had to pay upwards or $2,000 in sticker removal fees as attendees love to put them in inappropriate places. You may sell stickers to attendees as our hope is that if they’ve bought it they will value it more.
  14. I have general business liability insurance and will be able to produce documentation of such if required to on site.
