Vending is open!  We are no longer holding spaces for returning vendors.
The tabs below have all the info you need to apply.  You’ll need to read the Info page to learn about prices and the ins & outs of vending.  Our Map tab will show you which spaces are still available.  The Rules will keep you informed of the hoops we and our vendors are required to jump through to keep the ‘powers that be’ satisfied and Seattle Hempfest operating.  It’s a lot to read, so roll a fat one and enjoy!

Once you submit your application, you’ll need to pay your invoice for your application to be processed.  Check your spam box if you can’t find the invoice email. To be very clear, until you pay, nothing is processed and nothing is held for you. There are no exceptions!  We know you’re special, and we love you, but those are the rules.

There are many things to consider when you are selecting your location. 

Remember, it’s a park.  What’s grass today may be dirt by August.  The City changes things all the time.  We do not control this – we have to roll with it! They add a tree, dig a hole, have a storm, we have to adjust vending.  We try to minimize impact but remember, don’t get attached to a specific booth number as you may be moved! 

We load in from south to north.  If you pick a south location you’ll have an earlier load in and load out time – it could be 6:00 AM!  Conversely, if you select a north one your load in time will be later, but so will your load out time – as late as 10:30 PM!  Sponsors get the golden ticket of entering/exiting during any of our load in/out hours.

Available General Vending booths are Green on the map when they are available.  Once they’re sold they’re Red.   Food booths are Gray when available and Blue when sold.  The Yellow booths you see are available Sponsorship booths. Once they’re booked they are Purple. You can get Sponsorship information HERE

 Booths in Hemposium, Grubbin’ Grove, Main Stage, Stone Village, & Munchie Market are subject to the City of Seattle’s 10% of revenue or $20 fee, whichever is greater. These are the Red & Orange sections of the park. 

We must collect this.  We come around on Sunday night and pick it up and give you your Sunday night load in pass then.  You will not get a Sunday night load out pass until you pay.  To avoid this fee, select booths in the Yellow, Green, Blue, or Purple areas.

Be sure and select your booth before your start the application!  You’ll need to select 5 locations.  Be sure they are green and available!  Pay once you apply!  Only fully paid applications are processed.  The booths you’re requesting will not be held for you unless you pay!  We secure booths in the order applications are paid.  

Buy the $49 booth highlight, you’ll see it on your application.  I can’t tell you how many times we get phone calls & emails from the public trying to figure out who a vendor was-  It’s a great deal!  Whenever someone hovers over your booth space it will show them whatever info you’ve had us put in.  Your business name, address, we can add hyperlinks to your website, events, anything you want!  It will go up a week or so after you pay your invoice and it will stay up until February 2015 when we open vending again.

You are applying for a location

You are getting a 10×10 booth location only.  There is no back line or side area.  You are to remain contained in your 10×10 area.  We do not provide canopies.  Canopies are available for rent on your application.  You are applying to vend in a park, outdoors, in Seattle.  This means that you will be on grass or dirt.  It may be uneven.  If it rains it will be wet.  Be prepared and think about this when you are selecting your space!

Application Review & Subject To Change

All applications go into review once they are paid in full.  Until an application is paid in full it is not processed.  Your space is not reserved and may be sold to someone  else.  Our map is subject to change.  Your booth may be reassigned or moved.   We make every effort to NOT have this happen but it occasionally does.  You are vending in a park.  This means that you may be on grass, you may be on dirt, heck, it’s Seattle, if it rains there may be mud and puddles. Think about this!  Nothing is flat in a park, a lot of spaces are slightly slanted.  A super great idea is to check out the park on Google Earth if you are going to be super picky about your space, you can download it HERE.  Then type in Myrtle Edwards Park, Seattle, Wa and you can go down to street view and see the terrain

UBI

To apply you must have your Washington State UBI in hand. The application requires that you input the number. To obtain a free temporary UBI#, please contact the Washington State Department of Revenue directly at  (800) 647-7706  or visit their website HERE  If you do not give us a valid UBI you will not be allowed to enter the park. We submit the list of businesses & their UBI for review.  If you are kicked back invalid we must comply and cannot allow you to vend without the proper credentials.

Seattle City Business License

You’ll also need your City of Seattle Business License number. The application will require you to input this number as well.  If you don’t have one, we’ll get you a temp one issued.  Just leave the field blank.

Payment Due Upon Application

You’ll also be required to pay for your booth upon application. We take Visa & Mastercard  only.  Nothing is processed until you pay.  Your booth is not held until you pay. Booths are assigned based on the order in which payment is recieved.

Cancellation Policy

All cancellations will be charged a 30% cancellation fee.  No cancellations will be taken after June 1, 2014.  To cancel all or part of your order you must complete our cancellation form and email it to vending@hempfest.org.  The form is here:  Seattle Hempfest Cancellation Request Form

Event & Load In Dates

Seattle Hempfest will be (Fri, Sat, Sun) August 15-16-17, 2014. We’ll start loading in on Thursday 8/14.  These times are subject to change.  You will be notified of any changes via email.

Vehicles will not be allowed into the park outside of vendor load-in/out hours. The entrance is closed promptly at designated times and anyone not present will have to walk their personal items into the park.

We are not responsible for anything left over night!  Anything you leave in the park is left at your own risk including but not limited to your merchandise and booth set up.  Think of this when your’e selecting your load in/out days.  We recommend you move your booth & products out each night.

Great tip – get a cart and roll your goods in and out!

$15 Per Vehicle Per Day Fee

There is a $15 per vehicle per day charge.  You will be given a unique pass to enter for each day you select. Entry will be timed and you will not be allowed entry without this pass. You must purchase a Vehicle Entry Pass for EACH vehicle you’ll use to load into/out of the park. You must arrive during the designated times. If you do not, you will be turned away. You’ll have to walk your products into/out of the park.  This is no fooling around.  We have over 400 vehicles entering the park and we need it done in an orderly fashion.  Those unable to comply with load in times will be banned for vending in the future.  We are not responsible for items left in the park over night.  This includes but is not limited to, your merchandise and your booth set up.  If you choose to leave them over night you do so at your own risk.   We recommend you remove your items each night.

City of Seattle’s Wood Policy – You Gotta Have It To Get In!

The City also requires that all tires have wood under them at all times in the parks. We know it may seem silly but it’s a very important part of our annual permit process. If you do not have wood under your tires it jeopardizes our permit, so we’ll have to ask you to leave the park and go get wood and start load in all over again. You can buy wood from us on-line or bring your own. Just really bring it, or you really will have to leave the park.  Wood must fit under your tires such that you are parked on wood and not the ground.  100% of your tires must be on the wood.

Seattle Hempfest Vending Prices 

  • Hemposium, Main Stage, Stone Village, & Toke Life- 

$910  for a 10 x 10 booth in line with other booths allowing for 10 feet of frontage space to work with customers.
$1099 for a 10 x 10 corner booth or booth off by itself allowing for more than 10 feet of frontage space.

  • Main Stage, Stone Village Water Side  -   

$1210 for a 10 x 10 booth in line with other booths allowing for 10 feet of frontage space to work with customers.
$1399 for a 10 x 10 corner booth or booth off by itself allowing for more than 10 feet of frontage space.

  • Cannabis Cove, Hempsterdam, McWilliams Stage, DanceSafe Stage and Seeley Stage 

$710 for a 10 x 10 booth in line with other booths allowing for 10 feet of frontage space to work with customers.
$885 for a 10 x 10 corner booth or booth off by itself allowing for more than 10 feet of frontage space.

  • Bassdrop Music Village:

$535 for a 10 x 10 booth in line with other booths allowing for 10 feet of frontage space to work with customers.
$685 for a 10 x 10 corner booth or booth off by itself allowing for more than 10 feet of frontage space.

  • 6 x 6 blanket spaces in Bassdrop Music Village

$350 Blanket spaces do not come with vehicle privileges, so product has to be walked in and out of the park each night. Blanket spaces are not large enough for canopies, however, vendors are permitted to use a large umbrella and stand for shade. Seattle Hempfest is prohibited from staking items into the ground, so an umbrella stand is required. Blankets may not be moved from the assigned space.

Power is available from Toke Life South.  There is no power in Cannabis Cove, Hempsterdam, McWilliams, Seeley, 819 or higher or any of BassDropMusic Village

Food Vending Pricing - 

All spaces are sold in 10×10 increments at $1,687 per 10′ of space.

Prices include all three days at Seattle Hempfest.

Strolling Vending

Due to the increasing number of attendees and considering pedestrian traffic congestion occurring throughout the park, Seattle Hempfest will no longer offer strolling vendor passes.

Vendor Event Hours
The event hours are from 12 Noon to 8 pm on Friday, and 10 am to 8 pm on both Saturday and Sunday. We require that vendors be open during those hours for all three days.

Lodging
Please review the list of places to stay in Seattle in the attendee section of our website for a list of nearby hotels as well as parking facilities. Seattle is very busy in August and lodging space historically fills up quickly. You are not permitted to camp or sleep in Centennial Park, Myrtle Edwards Park, Olympic Sculpture Park, or any City streets or property.

Canopies and Tables - 
Seattle Hempfest will provide rental logistics.  You may order canopies, tables, & chairs on your application.  Canopies will be set up and waiting for you on site.  Your tables, chairs, & banner poles will be delivered to you shortly after you arrive.  Costs are as follows:

10×10 canopy w/4 side walls, $325

10×20 canopy w/4 side walls, $475

20×20 canopy w/4 side walls, $599

6′ tables, $25

8′ tables, $30

Folding chairs, $5

10′ steel banner poles, $15

You are responsible for rented items.  You will be billed replacement value for any damaged or missing items.  You are responsible for sealing  your canopy w/all the rented items inside when you pack out of Hempfest each night.

If you bring your own canopy, vendors should be prepared for occasional windy conditions on the waterfront. Please secure your canopies with some form of weight system (i.e. sandbags, cinder blocks, water container). Vendors are also responsible for maintaining the space in and around their booth. We ask that everyone be respectful of each other when loading in and out of the park and to leave the area as clean as possible. Pack it in, pack it out!  If we can document that you’ve left trash behind – like a box or 10 of your flyers, we will bill your card on file a $500 cleaning fee.  This is part of your agreement with us.

Cannabis on Site
No dispensing or distributing any controlled substances whatsoever, including medicinal goods. Each person is responsible for controlling his or her own cannabis.  While we are in the defining phases of legalization here in Washington State all current state laws must be adhered to including that sales/distribution in a park is a felony charge.  It’s critical to our permit process to have these rules in place and followed.

Active or Unauthorized Foods
Attention: Vendors selling active or unauthorized foods can be ejected without refund!

All food sold at Seattle Hempfest must be prepared in a Washington State approved kitchen, and must come from an authorized food booth. Any vendor who sells food in an unauthorized fashion can be immediately removed from Seattle Hempfest without refund of their vending fees and be permanently barred from future participation. If they were not approved via application no foods are allowed period.

Seattle Hempfest Vending Rules 2014

 

  1. You will not sell or sample marijuana or foods with marijuana in them or any illegal narcotic.  No marijuana sales, active food sales or sampling will be tolerated. Not even to authorized medical patients.  Your booth will be shut down immediately. There is a zero tolerance policy that will be strictly enforced. All fees and your space will be forfeited.
  2. All parties must be listed on this application.   Sub leasing or transferring of booth spaces is not allowed.  Failure to comply will cause forfeiture of your vending privilege.  All fees and your space will be forfeited.
  3. You will have wood under your tires at all times.  We know it seems silly but the City of Seattle requires that all vehicles have wood under their tires while in the park.  You may purchase wood squares from us in advance on your application for $25 per set of 4.  If you choose to bring your own, you must have your wood out and ready when you load in each day.  We must see your wood squares before you’ll be allowed to enter or you’ll need to purchase wood on site for $50 per set of 4.  If you fail to bring wood or purchase it we simply cannot allow you in the park or we’ll be in violation of our permit!  Once you’re in if you fail to park on your wood we’ll request to have you do so.  If for some reason you decide to not comply we’ll revoke your vending privilege and your booth will be shut down immediately and you will not be allowed to return.  All fees and your space will be forfeited.
  4. You will not sell or sample Salvia, Spice, K2 or any other similar substance.  Violators will be required to cease sales immediately.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  5. There is no camping allowed in the park.  You must exit the park by midnight each night.  You may not stay overnight in your booth.  If you are in the park after midnight you’ll be required to leave.  If you refuse we’ll help you pack up as you’re forfeiting your privilege to vend.  All fees and your space will be forfeited.
  6. You will not sell or give away any beverages of any type.  Violators will be required to cease sales immediately.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  7. Food sales are not allowed in the park unless they are approved via application.  All foods must be factory packaged and sealed.  Violators will be required to cease sales immediately.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  8. For public safety reasons, vendors do not get strolling privileges and are not permitted to stand outside of their booths offering samples or products to people walking by.  Violators will be required to cease activity immediately.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  9. To preserve the free speech aspect of our permit, no sound amplification is allowed.  No bullhorns, speakers, stereos or amplification of any type is allowed. Violators will be required to cease activity immediately.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  10. I will not sell any merchandise using Hempfest of its image.  Violators will be required to cease selling Hempfest merchandise immediately.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited
  11. Vehicles of any type, including bicycles & Segways, are not allowed to be operated during the event.  All vehicles are disallowed by permit and are not allowed in the park during event hours.  Violators will be required to remove the vehicle immediately.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  12. Pets of any type are not allowed on site by permit.  Violators will be required to remove the pet immediately.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  13. No private ATM machines are allowed on site.   Violators will be required to remove the ATM immediately.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  14. No private generators are allowed on site.  Violators will be required to remove the generator immediately.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  15. You booth tag must be placed in the upper right hand corner on the front side of your booth at all times.  Violators will be required to put the tag back up immediately.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  16. Vendors in Hemposium, Main Stage, & Stone Village are required by the City of Seattle to pay 10% of gross sales or $20, whichever is greater for the privilege of vending in a public park. Seattle Hempfest is required by law to collect this tax on behalf of the city.  We distribute the tax form at Hempfest, and vendors must turn them in at Seattle Hempfest Operations on Sunday night to obtain their load out pass.  Vendors who have not turned in their tax payment will not be allowed to return to Hempfest.  Information will be handed over to the City of Seattle collections.
  17. I agree to stay within my 10×10 booth space.  We are required to maintain certain distances from the paths.  Moving or expanding your booth is in violation of our permit.  This includes hanging items from trees or other park structures.  Violators will be required to move back within their 10×10 space immediately.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  18. I agree to remove all my booth materials from my area upon exit on Sunday night. Everything I brought will leave with me. Pack it in; pack it out! I understand that if I fail to comply I will be fined $500 that will be automatically billed to the credit card on file.  I also understand that I will be disallowed from vending in the future.
  19. Providing of medical recommendations at Seattle Hempfest is not permitted.   While this activity is not illegal, it gives a perception of inappropriateness and reinforces a cynical view of the integrity of the medical cannabis authorization process.  You are welcome to provide information at your booth and direct those requesting medical authorizations to your off site medical office.
  20. Creating of private medicating areas within your booth space is prohibited.  All areas of your booth must be open to all of the public at all times.
  21. No staking is allowed in Seattle City Parks.  You are not allowed to put anything into the ground.  All canopies must be weighed down with sand bags, cement blocks, water jugs, or other on ground weight.   Violators will be required to remove your staked items immediately.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  22. If I am selling products that require the purchaser to be 18 or older, I will check ID’s.  In additional, all those working in your booth must be 18 as well to comply with state law.  Violators will be required to start checking ID’s and/or cease allowing under aged staff to work in their booth.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  23. Seattle has a City wide ban on Styrofoam.  In accordance with this no Styrofoam may be brought on site.   Violators will be required to remove all Styrofoam items immediately and clean the immediate area of any Styrofoam waste.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  24. I will not distribute any stickers for free.  We’ve had to pay upwards or $2,000 in sticker removal fees as attendees love to put them in inappropriate places.  You may sell stickers to attendees as our hope is that if they’ve bought it they will value it more.  Help Hempfest avoid more City fee’s by stopping providing free stickers.  Violators will be asked to please stop giving away stickers for free and to please sell them.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  25. Hand held torches are not allowed to be operated in Seattle City Parks per the Fire Marshall Section 308.1.((6))5
  26. I have general business liability insurance and will be able to produce documentation of such if required to on site.
  27. Hate groups and hate speech are not allowed.  You must conduct yourself in a courteous and professional manor at all times.  No confrontational or aggressive behavior will be tolerated.  Violators will be given a moment to compose and cease their behavior.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  28. All cancellations will be charged a 30% cancellation fee.  No cancellations will be taken after June 1, 2014.  To cancel all or part of your order you must complete our cancellation form and email it to vending@hempfest.org.  The form is here:  Seattle Hempfest Cancellation Request Form There are no refunds after June 30, 2014.
  29. A Few Additional Rules For Food Vendors

  1. Only specialty drinks may be sold.  No prepackaged beverages are allowed.   Violators will be required to cease selling prepacked beverages.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  2. You will use compostable utensils and serving containers.  These can be purchased from Cedar Grove, http://www.gogreenscene.com/Food_Services-list.aspx or must be compliant to their compostable specification http://www.cedar-grove.com/commercial/accepted-items/ or Cedar Grove will not accept them for compost.  Food vending is the #1 waste producer at Seattle Hempfest.  It’s vital that food vendors comply with this requirement.  Violators will not be allowed to open until they have obtained approved compostable products. All fees will be forfeited if you fail to comply and are unable to open.
  3. You will allow Seattle Hempfest to create 30 free food coupons to be handed out to our volunteer staff.  You may not deny staff the use of these coupons.  Violators will be required to take said coupon.  Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
  4. You must obtain a Temporary Food Service Permit at least 21 days prior to the event to avoid a fine by the health department.  We are required to provide the health department a list of all food vendors.  They will not allow you to open if you’ve not obtained the proper permits.  They also charge a hefty fine for not obtaining your permit at least 21 days prior to the event.  Here is the link to obtain your permit.  http://www.kingcounty.gov/healthservices/health/ehs/foodsafety/FoodBusiness/temporary.aspx
  5. You must also obtain a Fire Department Permit for LPG (propane) and/or open flame (charcoal, wood).  Additionally, if you are cooking with propane, oil, or any open flame you are required to have fire extinguishers.  For oil, a special Class K fire extinguisher is required.  For more information on the fire permit requirements, or to download a permit application, please visit the Seattle Fire Marshall’s Special Event page, http://www.seattle.gov/fire/fmo/specialevents/sehome.htm
  6. Do not make your own 3 compartment sink in your area.  This is a health code violation and your booth will be noted as in violation and unable to operate until you have come into compliance with King County health codes.
  7. You cannot leave food on site over night or begin prep on site during Thursday load in.  This is a health code violation and your booth will be noted as in violation and unable to operate until you have come into compliance with King County health codes.

  • We provide you with a 10x10 or 6x6 space to set up. You bring or rent your own canopy, tables, chairs, etc. While all requests to be in last year’s location are given top priority we cannot always guarantee this.

    You are vending in a park.  This means that you may be on grass, you may be on dirt, heck, it’s Seattle, if it rains there may be mud and puddles. Think about this!  Nothing is flat in a park, a lot of spaces are slightly slanted.  A super great idea is to check out the park on Google Earth if you are going to be super picky about your space. Type in Myrtle Edwards Park, Seattle, Wa and you can go down to street view and see the terrain and get an idea of what different areas look like.

  • Canopy/Table Rentals

  • Canopies will be set up in your booth location ready for your arrival. You will need to come down to QM in Operations to check out your tables, chairs, & banner poles. If you have not rented a canopy you are responsible for dropping your banner poles, tables & chairs off back at QM as your load out on Sunday night. If you do not check your items back in you will be billed if they cannot be accounted for. If you rented a canopy please leave tables, chairs, & banner poles inside your canopy and assure the canopy is fully closed.

    Rentals are only available through 7/13/14
  • I understand that I am responsible for my rented items. I will be billed replacement value for any damaged or missing items. I will leave all rented items in my canopy and seal it closed when I load of out Seattle Hempfest. I agree to use the credit card on file to process payment if I have damaged or lost any items.
     
  • ICE

  • 40# bags of ice are available from ice trucks in several locations throughout the park. Ice Coupons are sold for $14 per bag in advance. If you purchase coupons in advance they’ll be in your load in packet when you arrive. Ice Coupons on site are$20.00 each and sold on a cash only basis only. They are sold in both North and South Operations.

  • Loading in

  • Vehicle entry fee is $15 per vehicle per day. You will be given a unique pass to enter for each day you select. Entry will be timed and you will not be allowed entry without this pass. You must purchase a vehicle entry pass for each vehicle you’ll use to load in/out of the park.

    There is no guarantee of the safety for anything left in the park overnight. If you choose to not load out your products and/or booth set up out each night, Seattle Hempfest make no guarantee for its safety. Vendors leave products and their booth at their own risk. We recommend that you load out everything each and every night. Consider this when you are choosing your load in/out days.

    I agree to arrive during the designated times. If I do not I understand I’ll be turned away. If I am late I will have to walk my products into/out of the park. If I arrive and I have not purchased a vehicle entry pass I understand that I will be turned away and not allowed to drive into the park. By not purchasing entry passes I acknowledge that I will be walking my products in and out. I also understand that there is no guarantee to the safety of my products left over night in my booth space. Items left in my booth are left there at my own risk
     
  • Wood

  • The City also requires that all tires have wood under them at all times. We know it may seem silly but it’s a very important part of our annual permit process. You’ll need wood squares big enough to drive each of your tires onto. If you do not have wood under your tires it jeopardizes our permit so we’ll have to ask you to leave the park and go get wood and start load in all over again – and that’s a bummer!

    I understand that I will need to have my wood out each time I drive into the park. I will have it out and ready to show to the Traffic Monitors each time I enter the park. I understand that if I forget my wood I will not be allowed to enter the park and I’ll have to walk my products in. I understand that Seattle Hempfest does not have extra wood on site.

    I’ll have my wood out when I check in and I understand if I cannot produce wood I will not be allowed entry.. I understand and agree to this

  • Rules & Regulations

  • Please review and read each of these carefully. We unfortunately have had to suspend some vendors due to rule violations. While the rules may be no fun, they are a necessary part of our annual permit.

    We are serious about these policies. If you don’t intend on following the rules, or think we’re kidding, stop your application now, come and enjoy Hempfest as an attendee instead of vending.

    Remember, if this City didn’t make us, we wouldn’t make you!
  • You will not sell or sample marijuana or foods with marijuana in them or any illegal narcotic.  No marijuana sales, active food sales or sampling will be tolerated. Not even to authorized medical patients. Your booth will be shut down immediately. There is a zero tolerance policy that will be strictly enforced. All fees and your space will be forfeited.
     
  • All parties must be listed on this application. Sub leasing or transferring of booth spaces is not allowed. Failure to comply will cause forfeiture of your vending privilege. All fees and your space will be forfeited.
     
  • You will have wood under your tires at all times. We know it seems silly but the City of Seattle requires that all vehicles have wood under their tires while in the park. You may purchase wood squares from us in advance on your application for $25 per set of 4. If you choose to bring your own, you must have your wood out and ready when you load in each day. We must see your wood squares before you’ll be allowed to enter or you’ll need to purchase wood on site for $50 per set of 4. If you fail to bring wood or purchase it we simply cannot allow you in the park or we’ll be in violation of our permit! Once you’re in if you fail to park on your wood we’ll request to have you do so. If for some reason you decide to not comply we’ll revoke your vending privilege and your booth will be shut down immediately and you will not be allowed to return. All fees and your space will be forfeited.
     
  • You will not sell or sample Salvia, Spice, K2 or any other similar substance. Violators will be required to cease sales immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • There is no camping allowed in the park. You must exit the park by midnight each night. You may not stay overnight in your booth. If you are in the park after midnight you’ll be required to leave. If you refuse we’ll help you pack up as you’re forfeiting your privilege to vend. All fees and your space will be forfeited.
     
  • You will not sell or give away any beverages of any type. Violators will be required to cease sales immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • Food sales are not allowed in the park unless they are approved via application. All foods must be factory packaged and sealed. Violators will be required to cease sales immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • For public safety reasons, vendors do not get strolling privileges and are not permitted to stand outside of their booths offering samples or products to people walking by. Violators will be required to cease activity immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • To preserve the free speech aspect of our permit, no sound amplification is allowed. No bullhorns, speakers, stereos or amplification of any type is allowed. Violators will be required to cease activity immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • I will not sell any merchandise using Hempfest of its image. Violators will be required to cease selling Hempfest merchandise immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited
     
  • Vehicles of any type, including bicycles & Segways, are not allowed to be operated during the event. All vehicles are disallowed by permit and are not allowed in the park during event hours. Violators will be required to remove the vehicle immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • Pets of any type are not allowed on site by permit. Violators will be required to remove the pet immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • No private ATM machines are allowed on site. Violators will be required to remove the ATM immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • 14. No private generators are allowed on site. Violators will be required to remove the generator immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • You booth tag must be placed in the upper right hand corner on the front side of your booth at all times. Violators will be required to put the tag back up immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • Vendors in Hemposium, Main Stage, & Stone Village are required by the City of Seattle to pay 10% of gross sales or $20, whichever is greater for the privilege of vending in a public park. Seattle Hempfest is required by law to collect this tax on behalf of the city. We distribute the tax form at Hempfest, and vendors must turn them in at Seattle Hempfest Operations on Sunday night to obtain their load out pass. Vendors who have not turned in their tax payment will not be allowed to return to Hempfest. Information will be handed over to the City of Seattle collections.
     
  • I agree to stay within my 10x10 booth space. We are required to maintain certain distances from the paths. Moving or expanding your booth is in violation of our permit. This includes hanging items from trees or other park structures. Violators will be required to move back within their 10x10 space immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • I agree to remove all my booth materials from my area upon exit on Sunday night. Everything I brought will leave with me. Pack it in; pack it out! I understand that if I fail to comply I will be fined $500 that will be automatically billed to the credit card on file. I also understand that I will be disallowed from vending in the future.
     
  • Providing of medical recommendations at Seattle Hempfest is not permitted. While this activity is not illegal, it gives a perception of inappropriateness and reinforces a cynical view of the integrity of the medical cannabis authorization process. You are welcome to provide information at your booth and direct those requesting medical authorizations to your off site medical office.
     
  • Creating of private medicating areas within your booth space is prohibited. All areas of your booth must be open to all of the public at all times.
     
  • No staking is allowed in Seattle City Parks. You are not allowed to put anything into the ground. All canopies must be weighed down with sand bags, cement blocks, water jugs, or other on ground weight. Violators will be required to remove your staked items immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • If I am selling products that require the purchaser to be 18 or older, I will check ID’s. In additional, all those working in your booth must be 18 as well to comply with state law. Violators will be required to start checking ID’s and/or cease allowing under aged staff to work in their booth. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • Seattle has a City wide ban on Styrofoam. In accordance with this no Styrofoam may be brought on site. Violators will be required to remove all Styrofoam items immediately and clean the immediate area of any Styrofoam waste. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • I will not distribute any stickers for free. We’ve had to pay upwards or $2,000 in sticker removal fees as attendees love to put them in inappropriate places. You may sell stickers to attendees as our hope is that if they’ve bought it they will value it more. Help Hempfest avoid more City fee’s by stopping providing free stickers. Violators will be asked to please stop giving away stickers for free and to please sell them. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • Hand held torches are not allowed to be operated in Seattle City Parks per the Fire Marshall Section 308.1.((6))5
     
  • I have general business liability insurance and will be able to produce documentation of such if required to on site.
     
  • Hate groups and hate speech are not allowed. You must conduct yourself in a courteous and professional manor at all times. No confrontational or aggressive behavior will be tolerated. Violators will be given a moment to compose and cease their behavior. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • All cancellations will be charged a 30% cancellation fee. No cancellations will be taken after June 1, 2014. To cancel all or part of your order you must complete our cancellation form and email it to vending@hempfest.org.   • Vehicle entry fee is $15 per vehicle per day. You will be given a unique pass to enter for each day you select. Entry will be timed and you will not be allowed entry without this pass. You must purchase a vehicle entry pass for each vehicle you’ll use to load in/out of the park.

    There is no guarantee of the safety for anything left in the park overnight. If you choose to not load out your products and/or booth set up out each night, Seattle Hempfest make no guarantee for its safety. Vendors leave products and their booth at their own risk. We recommend that you load out everything each and every night. Consider this when you are choosing your load in/out days.

    I agree to arrive during the designated times. If I do not I understand I’ll be turned away. If I am late I will have to walk my products into/out of the park. If I arrive and I have not purchased a vehicle entry pass I understand that I will be turned away and not allowed to drive into the park. By not purchasing entry passes I acknowledge that I will be walking my products in and out. I also understand that there is no guarantee to the safety of my products left over night in my booth space. Items left in my booth are left there at my own risk
     
  • Wood

  • The City also requires that all tires have wood under them at all times. We know it may seem silly but it’s a very important part of our annual permit process. You’ll need wood squares big enough to drive each of your tires onto. If you do not have wood under your tires it jeopardizes our permit so we’ll have to ask you to leave the park and go get wood and start load in all over again – and that’s a bummer!

    I understand that I will need to have my wood out each time I drive into the park. I will have it out and ready to show to the Traffic Monitors each time I enter the park. I understand that if I forget my wood I will not be allowed to enter the park and I’ll have to walk my products in. I understand that Seattle Hempfest does not have extra wood on site.

    I’ll have my wood out when I check in and I understand if I cannot produce wood I will not be allowed entry.. I understand and agree to this

  • Please review and read each of these carefully. We unfortunately have had to suspend some vendors due to rule violations. While the rules may be no fun, they are a necessary part of our annual permit.

    We are serious about these policies. If you don’t intend on following the rules, or think we’re kidding, stop your application now, come and enjoy Hempfest as an attendee instead of vending.

    Remember, if this City didn’t make us, we wouldn’t make you!
  • You will not sell or sample marijuana or foods with marijuana in them or any illegal narcotic.  No marijuana sales, active food sales or sampling will be tolerated. Not even to authorized medical patients. Your booth will be shut down immediately. There is a zero tolerance policy that will be strictly enforced. All fees and your space will be forfeited.
     
  • All parties must be listed on this application. Sub leasing or transferring of booth spaces is not allowed. Failure to comply will cause forfeiture of your vending privilege. All fees and your space will be forfeited.
     
  • You will have wood under your tires at all times. We know it seems silly but the City of Seattle requires that all vehicles have wood under their tires while in the park. You may purchase wood squares from us in advance on your application for $25 per set of 4. If you choose to bring your own, you must have your wood out and ready when you load in each day. We must see your wood squares before you’ll be allowed to enter or you’ll need to purchase wood on site for $50 per set of 4. If you fail to bring wood or purchase it we simply cannot allow you in the park or we’ll be in violation of our permit! Once you’re in if you fail to park on your wood we’ll request to have you do so. If for some reason you decide to not comply we’ll revoke your vending privilege and your booth will be shut down immediately and you will not be allowed to return. All fees and your space will be forfeited.
     
  • You will not sell or sample Salvia, Spice, K2 or any other similar substance. Violators will be required to cease sales immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • There is no camping allowed in the park. You must exit the park by midnight each night. You may not stay overnight in your booth. If you are in the park after midnight you’ll be required to leave. If you refuse we’ll help you pack up as you’re forfeiting your privilege to vend. All fees and your space will be forfeited.
     
  • You will not sell or give away any beverages of any type. Violators will be required to cease sales immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • Food sales are not allowed in the park unless they are approved via application. All foods must be factory packaged and sealed. Violators will be required to cease sales immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • 8. For public safety reasons, vendors do not get strolling privileges and are not permitted to stand outside of their booths offering samples or products to people walking by. Violators will be required to cease activity immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • To preserve the free speech aspect of our permit, no sound amplification is allowed. No bullhorns, speakers, stereos or amplification of any type is allowed. Violators will be required to cease activity immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited. Vehicles of any type, including bicycles & Segways, are not allowed to be operated during the event. All vehicles are disallowed by permit and are not allowed in the park during event hours. Violators will be required to remove the vehicle immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • I will not sell any merchandise using Hempfest of its image. Violators will be required to cease selling Hempfest merchandise immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited
     
  • Vehicles of any type, including bicycles & Segways, are not allowed to be operated during the event. All vehicles are disallowed by permit and are not allowed in the park during event hours. Violators will be required to remove the vehicle immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • Pets of any type are not allowed on site by permit. Violators will be required to remove the pet immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • No private ATM machines are allowed on site. Violators will be required to remove the ATM immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • No private generators are allowed on site. Violators will be required to remove the generator immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • You booth tag must be placed in the upper right hand corner on the front side of your booth at all times. Violators will be required to put the tag back up immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • Vendors in Hemposium, Main Stage, & Stone Village are required by the City of Seattle to pay 10% of gross sales or $20, whichever is greater for the privilege of vending in a public park. Seattle Hempfest is required by law to collect this tax on behalf of the city. We distribute the tax form at Hempfest, and vendors must turn them in at Seattle Hempfest Operations on Sunday night to obtain their load out pass. Vendors who have not turned in their tax payment will not be allowed to return to Hempfest. Information will be handed over to the City of Seattle collections.
     
  • I agree to stay within my 10x10 booth space. We are required to maintain certain distances from the paths. Moving or expanding your booth is in violation of our permit. This includes hanging items from trees or other park structures. Violators will be required to move back within their 10x10 space immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • I agree to remove all my booth materials from my area upon exit on Sunday night. Everything I brought will leave with me. Pack it in; pack it out! I understand that if I fail to comply I will be fined $500 that will be automatically billed to the credit card on file. I also understand that I will be disallowed from vending in the future.
     
  • Providing of medical recommendations at Seattle Hempfest is not permitted. While this activity is not illegal, it gives a perception of inappropriateness and reinforces a cynical view of the integrity of the medical cannabis authorization process. You are welcome to provide information at your booth and direct those requesting medical authorizations to your off site medical office.
     
  • Creating of private medicating areas within your booth space is prohibited. All areas of your booth must be open to all of the public at all times.
     
  • No staking is allowed in Seattle City Parks. You are not allowed to put anything into the ground. All canopies must be weighed down with sand bags, cement blocks, water jugs, or other on ground weight. Violators will be required to remove your staked items immediately. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • If I am selling products that require the purchaser to be 18 or older, I will check ID’s. In additional, all those working in your booth must be 18 as well to comply with state law. Violators will be required to start checking ID’s and/or cease allowing under aged staff to work in their booth. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • Seattle has a City wide ban on Styrofoam. In accordance with this no Styrofoam may be brought on site. Violators will be required to remove all Styrofoam items immediately and clean the immediate area of any Styrofoam waste. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • I will not distribute any stickers for free. We’ve had to pay upwards or $2,000 in sticker removal fees as attendees love to put them in inappropriate places. You may sell stickers to attendees as our hope is that if they’ve bought it they will value it more. Help Hempfest avoid more City fee’s by stopping providing free stickers. Violators will be asked to please stop giving away stickers for free and to please sell them. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • Hand held torches are not allowed to be operated in Seattle City Parks per the Fire Marshall Section 308.1.((6))5
     
  • I have general business liability insurance and will be able to produce documentation of such if required to on site.
     
  • Hate groups and hate speech are not allowed. You must conduct yourself in a courteous and professional manor at all times. No confrontational or aggressive behavior will be tolerated. Violators will be given a moment to compose and cease their behavior. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • All cancellations will be charged a 30% cancellation fee. No cancellations will be taken after June 1, 2014. To cancel all or part of your order you must complete our cancellation form and email it to vending@hempfest.org. The form is here: Seattle Hempfest Cancellation Request Form There are no refunds after June 30, 2014
     
  • Only specialty drinks may be sold.  No prepackaged beverages are allowed.   Violators will be required to cease selling prepacked beverages. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • You will use compostable utensils and serving containers. These can be purchased from Cedar Grove, http://www.gogreenscene.com/Food_Services-list.aspx or must be compliant to their compostable specification http://www.cedar-grove.com/commercial/accepted-items/ or Cedar Grove will not accept them for compost. Food vending is the #1 waste producer at Seattle Hempfest. It’s vital that food vendors comply with this requirement. Violators will not be allowed to open until they have obtained approved compostable products. All fees will be forfeited if you fail to comply and are unable to open.
     
  • You will allow Seattle Hempfest to create 30 free food coupons to be handed out to our volunteer staff. You may not deny staff the use of these coupons. Violators will be required to take said coupon. Upon second offense your booth will be shut down and you will not be allowed to return. All fees and your space will be forfeited.
     
  • You must obtain a Temporary Food Service Permit at least 21 days prior to the event to avoid a fine by the health department. We are required to provide the health department a list of all food vendors. They will not allow you to open if you’ve not obtained the proper permits. They also charge a hefty fine for not obtaining your permit at least 21 days prior to the event.   • You must also obtain a Fire Department Permit for LPG (propane) and/or open flame (charcoal, wood). Additionally, if you are cooking with propane, oil, or any open flame you are required to have fire extinguishers. For oil, a special Class K fire extinguisher is required. For more information on the fire permit requirements, or to download a permit application, please visit the Seattle Fire Marshall’s Special Event page, http://www.seattle.gov/fire/fmo/specialevents/sehome.htm
     
  • Do not make your own 3 compartment sink in your area. This is a health code violation and your booth will be noted as in violation and unable to operate until you have come into compliance with King County health codes.
     
  • You cannot leave food on site over night or begin prep on site during Thursday load in. This is a health code violation and your booth will be noted as in violation and unable to operate until you have come into compliance with King County health codes.
     
  • All applications go into review once they are paid in full. Until an application is paid in full it is not processed. The longer I wait to pay, the less likely the spaces I’ve selected will be available. I understand that if the spaces I have selected are no longer available I will be placed in another space in the same price category.

    I understand the map is subject to change. My booth may be reassigned or moved. I am not guaranteed any specific space number just a location within the price category for which I have paid. If I am provided a space in a different price category I will be given a refund for the difference between the two categories.

    I am vending in a park. This means I will be on grass or dirt. I understand that it’s Seattle and if it rains there may be mud and puddles. I am vending at my own risk. Seattle Hempfest makes no claims or guarantees as to my sales or condition of the ground that my booth will be set up.
